B03M W0RK vs Gmail, Notion and Trello
Lots of freelancers use Gmail, Notion and Trello side by side. What does W0RK do differently, and when don't you need it?

Lots of freelancers use three tools side by side: Gmail for mail, Notion for what you know, Trello for what needs doing. That works. Only then the answer to a client question is in one app, and the question in another. W0RK puts them together. Below, honestly what that does and doesn't mean.
Gmail
Gmail is a mailbox, and a good one. W0RK doesn't replace it: you connect your mail (Gmail, iCloud or your own server), and B03M looks along. It marks nothing as read and moves nothing. What W0RK adds: Messages sorts out what's really waiting for an answer, puts comments from your blog and orders from your shop next to it, and gives every message an owner. Answers go out through your own mail server, with a copy in your Sent folder.
Notion
Notion is a flexible place for notes, documents and databases. You can put almost anything in it. W0RK's knowledge base is narrower, and that's on purpose: cards with what's true about your work, with a fixed number, every version kept, and search by meaning. The difference is in what happens with it: Rapid Reply only writes a draft from those cards, and names them. If it isn't in there, there's no draft.
Trello
Trello is a well known board with columns and cards, and lots of add-ons. The boards in W0RK are simpler: columns you decide yourself, cards, labels, and My tasks across all boards. Their advantage is that they sit next to Messages and your clients. Need Trello's add-ons? Then you're better off staying there.
And the AI?
Gmail and Notion have AI features these days too. The difference with W0RK isn't whether there's AI, but what it's allowed to do. In W0RK the AI only writes from your own knowledge base, with the sources attached, and never sends anything by itself. First Approve, then Send: two buttons, you twice. What goes where is on AI in B03M.
One more difference: your knowledge isn't locked into one tool. Use ChatGPT or Claude? Then you connect W0RK to it through SM1TH. Switch AI tools later, and you plug W0RK into the new one and everything you know stays put. Want to leave B03M one day? As the owner you request an export and take it with you.
When you don't need W0RK
- You get few questions that look alike.
- Your questions mostly come in through WhatsApp or Instagram. Those channels aren't in W0RK.
- You're looking for a tool for quotes or invoices. That isn't in there.
